 Account Coordinator

Quantum Lifecycle Partners LP is seeking an Account Coordinator, under the supervision of the VP of Business Development, who will be responsible for providing administrative support to the sales team and will coordinate, organize and prioritize activities and tasks as an integral part of the team.  The Account Coordinator will also manage, among other things, account setup, facilitation of inbound shipments, accounting, and providing required documentation and reports to the internal Quantum team and customers.

 Your role as an Account Coordinator

Manage assigned customer accounts.

  • Coordinate customer deposits and pick-ups
  • Assist and support new and existing customers
  • Assist in the preparation of customer quotations, if required
  • Prepare customer settlements and associated documentation for Finance to generate invoices and payments.
  • Prepare customer volume/environmental reports.
  • Assist in the preparation of customer SLAs, SOWs, contract renewals, in conjunction with QUANTUM account managers, sales, operations, finance.

Ensure that operational teams have received processing instructions and that all specific customer requirements are met.

  • Engage with QUANTUM team members as appropriate to ensure timely and accurate response to customers and ensure customer satisfaction.
  • Clearly communicate any customer dissatisfaction or potential quality issues internally and escalate as appropriate for prompt resolution.

Maintain and update customer records; communicate, monitor and ensure appropriate service in assigned portfolio.

  • Create and issue certificates of destruction and shipment summaries to customers as required.
  • Perform new account setup in QUANTUM systems.
  • Assist in organizing and scheduling collection events, special programs, etc. as needed
  • Answer phones, handle incoming emails to group email boxes (i.e. info@quantum), web form submissions.
  • Lead follow-up and follow up

Your education, experience and skills:

  • Post-secondary education or equivalent work experience
  • 2-5 years of administrative or related experience required
  • Ability to build strong working relationships with all levels of people, both internal and external.
  • Proficiency in Microsoft Office Suite
  • Strong interpersonal and collaborative skills
  • Demonstrated accounting skills
  • Work with the team to organize and prioritize activities and actions as an integral member of the sales team
  • Excellent communication, planning and presentation skills
  • Strong sense of urgency and ability to manage multiple priorities.
